Manager of Projects and Planning: Job Description

The Andrew W. Mellon Foundation ("Foundation") is a not-for-profit, grantmaking organization that seeks to strengthen, promote, and, where necessary, defend the contributions of the humanities and the arts to human flourishing and to the well-being of diverse and democratic societies.  It makes grants in four core program areas (higher education and scholarship in the humanities; arts and cultural heritage; scholarly communications; and international higher education and strategic projects).  The Foundation seeks a Manager of Projects and Planning for the Office of the Executive Vice President and Chief Operating Officer (COO).

Summary

The Manager of Projects and Planning in the Office of the COO will be a project manager and strategic planner for the COO.  The Manager will be a member of the COO's team, and assist with the shaping, resource and time-tracking, and timely implementation of ongoing and new Foundation-wide projects that sustain and renew the COO's directions in bridging operational and program work and serve as a critical resource to colleagues working across the organization.  This position reports to the COO.

Position Details

The primary responsibilities may include, but will not be limited to:

  • Working closely with the COO, and relevant operational and program staff, to timely deliver on strategic planning, tracking, and implementation for the COO in intra- and cross-departmental work of the office
  • Developing documentation protocols, timelines, and effectively tracking resources and deliverables for strategic planning and implementation of new and continuing work overseen by the COO and team
  • Assisting in budget development and tracking for COO-sponsored projects throughout the Foundation
  • Liaising with members of the Foundation's program, operational, finance and other staff about shared initiatives, grantmaking, operations, and communications
  • Overseeing the planning, coordination, and execution of large- and small-scale meetings and convenings relating to the work of the COO's office
  • Providing project support, as needed, to other members of the COO team
  • Helping maintain a work environment that is collegial, collaborative, outcomes-oriented, and efficient

Required Skills and Experience

The successful candidates will have the following qualifications:

  • Master's degree or higher in an academic discipline related to higher education, the humanities, arts, public policy, business, or other relevant advanced degree
  • Superior organizational, project, and resource-management skills, with strong attention to detail
  • Experience managing multiple complex projects with multiple work streams, and with grace and aplomb
  • Knowledge/familiarity with IT implementations
  • Budget management expertise
  • Exceptional oral, written, mathematical, technological, and visual communication and presentation skills
  • Demonstrated ability to influence and facilitate delivering results in a collegial manner; position continually requires demonstrated poise, tact, sound judgment, diplomacy, humility, and aplomb
  • Demonstrated ability to work independently and proactively in a fast-paced environment, structure projects, and prioritize time and task sequences
  • Familiarity/knowledge of foundations and/or with the grantmaking process and/or foundation operations
  • Willingness to travel
  • Broad curiosity
  • Outstanding work ethic
  • Well-developed empathy, emotional intelligence, and interpersonal skills
  • Currency with communications strategy and digital and social media
  • Technological savvy, and proficiency in MS Office Suite, as well as grant management software such as Fluxx
  • Certification in project management and demonstrated project management track record
