Library Assistant: Job Description
The Andrew W. Mellon Foundation ("Foundation") is a not-for-profit, grantmaking organization that seeks to strengthen, promote, and, where necessary, defend the contributions of the humanities and the arts to human flourishing and to the well-being of diverse and democratic societies. It makes grants in five core program areas (higher education and scholarship in the humanities; arts and cultural heritage; diversity; scholarly communications; and international higher education and strategic projects). The Foundation seeks a Library Assistant to provide administrative, library, and archival support in the Foundation's Nathan Marsh Pusey Library.
The Library Assistant will have an opportunity to acquire experience in a small, specialized library that supports the Foundation by maintaining physical and online collections of primary and secondary sources in the humanities, arts, higher education, and philanthropy to meet the information needs of current staff and to document the activities of the Foundation for future use. In addition to carrying out recurring, time-sensitive responsibilities key to maintaining the library, the library assistant will be an active partner in departmental efforts to enhance the Foundation's collections for staff development and research. We are seeking a thoughtful, strongly motivated, energetic, and congenial individual with well-developed communication competencies and exceptional organizational skills and attention to detail.
The library assistant is a full-time position (37.5 hours per week) that reports to the Foundation's librarian, and also takes assignments from and works closely with other professional staff within the library. The person appointed to this position will have multiple responsibilities including, but not limited to the following functions:
- Provide core support to the Foundation's librarian in the administration of her responsibilities
- Provide departmental support for meetings and events
- Record departmental expenses and maintain records for internal reporting
- Assist with photocopying and electronic document processing
- Open and sort mail for department
- Assist in maintaining the library's collection, including processing and adding new material, removing unneeded materials from the collections, and receiving and returning interlibrary loan items
- Check-in, shelve, and distribute newspapers, magazines, and journals
- Assist with research projects carried out by the Foundation's librarians
- Help to create historical and other educational material for staff
- Assist with fact-checking and proofreading
- Update content on the Foundation's intranet
- Assist with the records management processes within the Foundation, which includes document storage
- Provide support to the library's professional staff in processing archival records
- Assist with the organization, storage, and discoverability of electronic records by applying naming conventions and adding metadata
- Assist with archival research requests
- Undertake such additional tasks as the needs of the library may entail
Required Skills and Experience
- A bachelor's degree, with experience working in a library or archives setting, either as an employee or as a researcher
- Advanced skills in Microsoft Word, and a proven facility with Excel
- Experience with a content management system or web publishing platform
- Familiarity with library research tools, including library catalogs, and databases such as JSTOR
- Facility with and interest in learning new technology
- Ability to serve as a detail-oriented, self-motivated team player
- Excellent written, phone, and verbal communication skills; competence in spelling, grammar, editing, and proofreading
- Excellent interpersonal skills and the ability to interact in an efficient, courteous, and diplomatic manner with a wide variety of internal and external professionals
- Enthusiasm, initiative, follow-through, precision, tact, discretion, good-will, a sense of humor, and commitment to collegiality
- Genuine interest in libraries, archives, and research
